The system centers around the Inbox, which serves as the mission control for every user. Whether integrated from Foundation Accounting Software or added manually, every worker with an email address has a personalized view where assigned Toolbox Talks, Corrective Actions, and critical safety alerts are delivered directly.

  • Clear Drafts: Monitor Draft Settings to clear old, unused drafts that can clutter field devices.
  • Manage Integrations: If syncing with Foundation, remember the "manual sync" has a 30-minute cooldown period.
  • Non-User Access: For auditors or regulators who need to see data but shouldn't log in, use the Notification system to auto-send PDF reports instead of creating unnecessary user accounts.

  • Assigning Talks: Use the "Share" feature to assign Toolbox Talks to Permission Groups (e.g., Foremen). Caution: Avoid scheduling talks too far into the future (e.g., a whole year), as new hires added to the group later will miss those pre-scheduled assignments.
  • Triggering Actions: Train teams that Corrective Actions are best triggered automatically by answering "No" on inspection forms, rather than logging them manually one-by-one.
  • Conduct vs. Share: Teach Foremen to use the "Conduct Talk" option (via the three-dot menu) to log attendance immediately, rather than just viewing the PDF.

  • Offline Mode Reality: Use Offline Mode when the signal is weak. Be aware that while offline, you are isolated from new data updates. Information you enter will sync automatically once a signal returns.
  • Quick Access: Use the "Star" icon in the SDS module to favorite commonly used materials for instant access.
  • Photos: Take photos directly within the Corrective Action or Incident forms to document issues instantly; no need to save to your camera roll first.
